Privacy Policy

Last updated: 9 October 2026

Balance Society ("we", "us", "our") is committed to protecting your privacy. This policy explains how we collect, use, store and disclose your personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). Because we collect health information, the Privacy Act applies to us even though we are a small business.

Who we are

Balance Society operates the Balance Society mobile and web application (balancesociety.com.au). Contact: contact@balancesociety.com.au.

What we collect

  • Account: email address, display name, optional profile photo. If you sign in with Apple or Google, we receive the name and email address (or Apple's private relay address) that the provider shares with us.
  • Health & fitness information (sensitive information): workouts completed, weights, reps, body measurements you enter, meals and food photos you log, challenge progress, and — only if you connect it — activity, sleep, heart rate, weight and nutrition data read from Apple Health. We only collect this with your consent and use it only to provide the app's features.
  • Coaching information: if you work with a coach, your PAR-Q health screening answers, goals, check-ins and messages between you and your coach.
  • Location (coarse): if you enable the weather feature, your approximate location is used once to fetch a local forecast. It is not stored or shared.
  • Device: push notification tokens (only if you opt in) and basic device platform.
  • Payment: payments are processed by Stripe. We never see or store your full card details; we receive only your subscription status.
  • Diagnostics: crash and error logs used to fix bugs.

We do not collect your contacts, microphone, or precise location, and we do not track you across other companies' apps or websites.

Why we collect it and how we use it

We use your information only to:

  • create and manage your account and membership;
  • save and sync your workouts, meals, measurements and progress across your devices;
  • deliver coaching services you have signed up for (your coach can see the data you share with them);
  • send push notifications you have asked for (workout reminders, rest timers, check-ins, messages);
  • process payments and manage subscriptions;
  • fix bugs and improve the app.

We do not sell your personal information, share it with data brokers, or use it for third-party advertising or marketing.

Who we disclose it to

  • Your coach (only if you are a coaching client, and only the data relevant to your coaching).
  • Service providers that run the app: our managed cloud hosting and database provider, Stripe (payments), Google (calendar bookings and Meet links, only if you book a session), and Apple/Google (sign-in and app distribution).
  • Authorities where required by law.

Overseas storage and disclosure

Our hosting and some service providers store or process data on servers located outside Australia (including the United States). By using the app you consent to this. We take reasonable steps to ensure overseas recipients handle your information in accordance with the APPs, and we remain responsible for it under APP 8.

Storage and security

Data is stored on our managed backend with row-level security so only you (and, for coaching data, your assigned coach) can read or modify your own records. Traffic is encrypted in transit (TLS) and data is encrypted at rest. We keep your information while your account is active; when you delete your account, your personal records are permanently removed, except where we must keep limited records for legal or tax purposes (e.g. payment history held by Stripe).

Access and correction

You can view and edit most of your information directly in the app (Profile → Edit name or email, and your logged workouts, meals and measurements). You may also request a copy of your personal information, or ask us to correct anything inaccurate, by emailing contact@balancesociety.com.au. We will respond within 30 days. You can delete your account and all associated data at any time from Profile → Delete my account.

Anonymity

Because the app saves your personal training and nutrition data to an account, it is not practical to use Balance Society anonymously or under a pseudonym. You may, however, use a display name of your choice.

Data breaches

If a data breach occurs that is likely to result in serious harm, we will notify affected users and the Office of the Australian Information Commissioner (OAIC) as required by the Notifiable Data Breaches scheme.

Cookies and analytics

The app uses only the storage needed to keep you signed in and remember your preferences. We do not use advertising cookies or third-party tracking pixels.

Children

Balance Society is not directed to children under 13, and we do not knowingly collect their data. If you believe a child has provided data, contact us and we will delete it.

Complaints

If you believe we have breached your privacy, contact us at contact@balancesociety.com.au and we will investigate and respond within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or 1300 363 992.

Changes

We will update this page when our practices change and, for material changes, notify you in-app. The "last updated" date above shows the current version.
